Refund Policy

At SIA Tech ("we," "us," or "our"), we stand behind the quality of our work. This Refund Policy outlines the terms under which refunds may be issued for our software development, AI solutions, and related services.

European Consumer Rights (Cooling-Off Period): If you are a consumer based in the European Union, you may have the right to withdraw from this contract within 14 days without giving any reason. However, this right does not apply to services that have been fully performed with your prior express consent and acknowledgment that the right of withdrawal is lost once performance has begun. For custom development services, the cooling-off period is waived once you expressly request that work begin during the 14-day period.

1. Discovery Sprint

The Discovery Sprint is a fixed-price, 1-week engagement designed to scope your project and deliver a clear build quote. Because the full deliverable (requirements document, technical architecture, AI assessment, and fixed-price quote) is provided within the sprint period:

  • Discovery Sprint fees are non-refundable once work has commenced.
  • If we are unable to deliver the agreed Discovery Sprint deliverables within the stated timeline, you may request a full refund.

2. Custom Development Projects

For custom software development, AI platform builds, and other project-based engagements governed by a separate service agreement:

  • Before work begins: Full refund of any prepaid amounts, minus a 5% administrative processing fee to cover verifiable payment gateway charges, banking fees, and administrative overhead incurred in processing the original transaction and the refund. This fee reflects our actual costs and will be waived if it would result in a net amount lower than the direct third-party fees incurred.
  • During active development: Refunds are calculated based on the proportion of work completed. You will be refunded for any prepaid amounts that exceed the value of completed and delivered milestones.
  • After delivery: Once a milestone or phase has been delivered and accepted, the associated payment is non-refundable.

3. Retainer Plans

Monthly retainer fees (Maintenance, Growth, and Partner plans) are billed at the start of each month:

  • You may cancel your retainer at any time with 14 days' written notice.
  • Refunds for the final month are pro-rated based on unused service days.
  • Setup or onboarding fees are non-refundable.

4. SaaS & Platform Subscriptions

For any SaaS products or platform subscriptions offered by SIA Tech:

  • Monthly subscriptions may be cancelled at any time. Access continues until the end of the current billing period — no partial refunds.
  • Annual subscriptions paid upfront may be refunded on a pro-rated basis for the unused portion, minus a 5% administrative fee.
  • Free trials may be cancelled at any time during the trial period at no cost.

5. How to Request a Refund

To request a refund, please contact us with the following information:

  • Your full name and company name
  • The service or project for which you are requesting a refund
  • A brief explanation of your request

6. Processing Time & Settlement

Approved refunds will be processed within 10 business days. The refund will be issued using the same payment method used for the original transaction. Depending on your financial institution and the applicable payment method, it may take additional time for the refund to appear in your account. All refunds are processed through PayMob, our payment gateway provider.

Chargebacks: If you believe a transaction was unauthorized or incorrect, you may file a dispute through your card-issuing bank. Chargebacks are handled in accordance with applicable card network rules and regulations. We will cooperate with PayMob and the card networks to resolve any chargeback claims. If a chargeback is filed, we may suspend the related services until the dispute is resolved.

7. Exceptions

The following are not eligible for refund:

  • Third-party costs (licenses, hosting, APIs, payment gateway fees) that have already been incurred on your behalf
  • Services delivered and accepted under a signed service agreement
  • Custom domain registrations or SSL certificates purchased for your project

8. Dispute Resolution

If you disagree with our refund determination, we encourage you to reach out so we can find a fair resolution. If we cannot resolve the dispute directly, the dispute will be governed by the dispute resolution and governing law provisions in our Terms of Service.

9. Changes to This Policy

We may update this Refund Policy from time to time. We will notify you of any material changes by posting the updated policy on our website at least 30 days before they take effect and updating the "Last Updated" date. Non-material changes may take effect immediately upon posting.
